Here is a checklist with 10 signs that shows your business needs an automatic web lead distribution system. If you are new to the internet lead generation business or a recently established the lead company and you are not using a lead distribution software system, compare your lead gen and delivery operations with this checklist. You might be surprised what opportunities (that will help you in scaling up the business) are being missed.

If you are already using some sort of lead management system and you still some of the problems described in the checklist, then it may be good time to reevaluate your software solution and match with your business requirements.

#1 Too much time spent in emailing leads: Are you spending too much time in emailing the leads received from your lead generation websites? When you started the business, probably it was good idea to focus on lead gen and business development. You could have emailed the few leads received to a handful of lead buyers. But, if you are following the same process, then you are not growing your business.

#2 Leads fall through the cracks: Are you missing the leads and the captured leads never reach the intended customers? Every lead missed is money wasted – in terms of lead generation efforts and cost. When you go on vacation, what happens to the leads? Either you need to subordinate to take care or your customers might slip away from you.

#3 Wasting time in re-formatting Emails to Customers: Even if you are dealing in a specific vertical such as Education Leads or Insurance Leads, each of your customer may be needing the lead data emailed to them in a specific format. If you sign-up more customers, more pronounced will be this problem. Your lead distribution and management system will support multiple email layouts and format to meet each customer’s requirement.

#4 Have to ignore potential buyers since they need automated Lead Delivery: I am sure that every has to avoid signing up one or two clients for some important reason. However, ignoring customers for want of an automated lead delivery management system will fatal to the business. Sophisticated / savvy / large customers will demand more automation features.

#5 Have more than a handful of websites or leads generated: If you have a more than a few websites, then managing the capture and distribution process is tedious. Also, measuring the performance of each website is essential to optimize your leadgen efforts. Even if you have one or two lead capture websites, if the volume of leads generated is high, then you will face the same issues.

#6 Using Google / Yahoo / Bing PPC for leadgen: Are you using PPC (pay per click) programs with Google Adwords, Yahoo Search Marketing and Bing AdCenter to drive web traffic and generate leads? If so, you cannot live without a solid lead management system to manage and analyze the leads captured on your PPC landing pages. Don’t waste your inbound marketing efforts without fully monetizing.

#7 Don’t find enough time for Lead Generation: Are you spending too much time on your operations management? You must be focusing on traffic generation strategies and activities. Another important aspect needing most of your time is the business development and enrolling more customers. Deployment of a lead company operations management system can take care of capture, delivery and tracking.

#8 Lead Buyers complain about delay in lead delivery: Have you heard any complaints from your lead clients that leads are not reaching them on time? If you promise real time leads, the leads should be delivered in real time. It means that the data should be delivered within a few minutes, not after 30 minutes. Remember, the first responders have the advantage of converting the prospect to a customer.

#9 Losing Revenue: Are you leaving money on the table? If you don’t automate the distribution process, you may not route the prospects to all buyers. If you are promising multiple quotes for the prospects, you need to deliver the lead info to multiple customers. For example, if you are generating insurance or mortgage leads and the routing is based on geography (zip code or state), imaging how error prone the delivery routing process will be.

#10 Spending time on analyzing leads: Do you know where the leads are coming from and how these are distributed? What is your profitable lead source? Unless you know answers for these questions you cannot optimize your investment and generate revenue. If you are not using a good lead distribution database system which will provide instant answers on questions such as these, you will be wasting time in trying to get a grip of the business operations.

If you think that even one or two signs are visible, then it is time to take an in-depth look at your business operations / practices and analyze if an automatic lead distribution system can help you.

Whether you are a veteran in the internet lead generation and distribution business or just a rookie, driving affiliate traffic via CPA Ad Networks should be a key part of your leadgen strategy. You may take a look at my earlier post How to Use CPA Ad Networks for Lead Generation and reduce dependence on Google Adwords PPC, if you are yet to get into the game!

Lead Quality is Key

The success of the leadgen business depends on the lead quality and resulting ability to retain the lead buyers as customers in the long term. If you are using your own traffic generation modes such as SEO, Google Adwords, Facebook Advertising, Banner Ads, etc., you will have pretty good control over the nature of traffic and resulting lead quality.

When you are using CPA Ad Networks, essentially you are outsourcing the traffic generation. In such a condition, you have very little control over the quality of the web traffic driven to your landing pages. As a result the lead quality may suffer, which will affect your business in the long term. This holds good even if you are using the leads generated for your own purpose (and not reselling leads).

Here are some key factors to be taken care of (while using CPA Networks) in the lead capture process, which will help you ensure lead quality to a great extent.

Research, test and choose a right Ad Network in the first place.

Design and test Landing Pages for proper / good conversion. Conversion rate alone should not be criteria.

Track the leads by source. If you are using multiple networks, you should be able to analyze the performance of each network based on lead quality.

If required, you may use multiple landing pages depending on your offer and ad network used.

Depending on the quality of leads delivered, stop / start using those ad networks. Typically, ad networks provide a 10% cushion for bad / invalid leads. However, this may not be acceptable to your customer!

Customize landing pages as required; do not go with a basic lead capture form. Include filters, dropdowns, etc. so that the information captured will be relevant.

Make sure that basic validations such as phone number, etc. are handled in the lead capture page in order to avoid bogus entries.

You may also include security features such as CAPTCHA entry, which helps avoiding bot based submissions.

Include additional lead verification processes after capturing the lead profile data in your lead capture, distribution and delivery system such as LeadPro247. Based on the verification results, you may filter out the leads to the lead buyer. Note that the lead verification process using 3rd party provider services such as TargusInfo, ServiceObjects, etc. incurs additional expenses (on per lead captured basis).

While implementing these ideas would not acheive 100% quality, it will certainly help improve the quality significantly, save money and retain customers.

CPA Ad Networks can be leveraged to maximize the return on your lead generation efforts and reduce dependence on Pay Per Click (PPC) strategies. With the Google Adwords pricing sky rocketing in recent times and Google enforcing strict rules for quality assessment of websites and landing pages, it is critical that you diversify your leadgen practices, tools and strategies.

There are dozens of Ad Networks in the marketplace and hence you have a wide selection to choose from depending on your budget, nature of business and industry vertical.

How the Ad Networks operate?

The ad networks are basically centalized portals acting as intermediaries for publishers and advertisers. As an Advertiser you can submit your advertisements to one or more networks. Web site owners or operators (known as Publishers) choose the advertisements based on their specialization and preference and run the ads on their sites.

Typically you have to specify a rate per action performed, which is nothing but a lead acquired. This is referred to as CPA or Cost Per Action. You have to provide a suitable landing page to which the advertisers will drive the traffic from their websites. When the web visitors submit their information successfully, a thank you page need to be displayed. The thank you page will include a tracking pixel so that the ad networks can track the successful conversions and invoice you accordingly.

Importance of Landing Pages in Lead Generation via Ad Networks

As mentioned above, the Landing Page is the most important component of the lead acquisition process. Even if you get a ton of traffic to your site, if the landing page does not convert (i.e. visitors do not submit their info) you are not going to get any value out of the traffic. Make sure that the landing page is designed to convert and tested well.

You may take a look at the blog post on landing page design and optimization for lead conversion.

If you are using third party media planning / buying / ad agencies, they should be able to help you design the landing pages, negotiate the offer rates, choose suitable ad networks and track the ad performance.

CPA Ad Networks

Start with a small budget, test out the results and then ramp up your leadgen efforts with a network. Note that some offers (i.e. your advertisements) might work well with some networks and may not work with others. Also, the same ad might produce results at one time and might fail to perform at another point time. Since there are so many variables in play, it is very difficult to generalize and rate the networks. However, you should be able to evaluate their business practices, support levels, etc. over a period of time.

Here is some of the popular and not so popular networks listed not in any particular order. Note that there are dozens of networks operating in the marketplace and hence this is not a comprehensive list.

Ad Canadian

AdMedia

Advantages and Disadvantages of using CPA Ad Networks for Leadgen

Lead Distribution and Delivery software application helps the lead generation companies, internet lead sellers and service providers and lead buyers to capture sales leads from landing pages and signup forms, distribute the captured leads in real time using distribution rules and filters and provides reporting for tracking the leads.

Depending on your business needs, you can pick and choose the features to be used and leave the rest of the functions. Though web based lead distribution and delivery solutions such as LeadPro247 are easy to use, you should understand the underlying principles and concepts of lead generation and distribution, in order to maximize the benefits of deploying such software. The above chart shows a high level overview of the LeadPro247 lead distribution solution. This is applicable for any lead generation distribution software service.

Note that the lead generation is not the core function of a Lead Distribution system. However, it helps to integrate with the landing pages and registration forms and capture the leads. In other words, lead generation websites and the lead system have to work together. For more detailed discussion on Landing Page principles, design and deployment, please take a look at the other posts on the subject in this blog.

To summarize, the following are the functions of any lead generation capture and distribution system:

Integrate with Lead Capture landing pages (used for lead generation)

Interface with 3rd party lead vendors, affiliates and partners to capture / collect leads from their systems

De-dupe, Srub, Validate, and Verify leads captured

Maintain lead buyer / client profiles, including delivery methods and payment modes

Maintain Sales Rep info and provide sales / commission statements

Maintain lead order parameters and filters for each client’s orders

Distribute exclusive / shared leads to lead buyers based on filters and conditions via the Lead Distribution Engine

Deliver leads to lead clients via Email / SMS text messaging / API interfaces / HTTP posting / Fax / Back office Lead Retrieval System, etc. based on the buyers’ preferences

Process payment via credit card gateways or accept manual payments

Accept credit requests from buyers for bad / invalid / duplicate leads

Process credit requests and provide substitute leads

Provide lead capture, delivery and sales statistics for lead distributors / companies

Back office access to view / manage / download leads delivered

As mentioned earlier, you may not be needing all the features and functions for your business. Also, some of the Lead Distribution and Delivery systems may miss some of the features and have more frills. You need to research and evaluate the software system before finalizing the deployment.

Now that the internet lead generation practice has gained critical mass, website landing pages have become the core components of the online marketing and demand generation process. Unfortunately many online marketers, professionals and businesses treat the landing page as just that – a visitor-landing page. And they keep driving the traffic to these landing pages and losing boat loads of money in the process! Whether you are B2B or B2C lead company or an independent marketer, this holds good for everyone.

Landing Pages

The very purpose of landing pages is to convert the web visitors into leads (or prospects). While it serves as a funnel to attract the web site visitors, unless the visitors are converted to leads with contact information there is no meaning in attracting the traffic. In others words, landing pages should be treated as conversion pages.

Typically web site traffic (for lead generation) is generated via one or more of the following practices and visitors are sent to the lead capture pages:

PPC (Pay Per Click)

SEO / Search Engines

Email Marketing

Blogs and Web 2.0 sites

Social Networking Media

Direct Mail (with web URL)

All of these traffic sources costs money and significant efforts. While some may term traffic from social media and SEO as free, it is really not free. Search engine optimization and social media maintenance is a time taking and long term process.

Lead Conversion Pages

How to convert the money loosing sign-up pages to profitable lead-conversion pages? While every step of the page design, development and deployment is a candidate for improvement, the following key factors are to be taken into consideration.

Layout and Design are primary components to attract and convert visitors. Make them simple, clear and precise.

Avoid distractions and unwanted links on the page. Address the specific product or service.

Provide Clear Call to Action. If you want them to fill up a form, tell them clearly what to do and why they should do so.

Include a Compelling Offer. Whether it is a Whitepaper, Quote, or a Free Trial, make it compelling.

If you are using Advertising (such as PPC) to drive traffic, make sure the Ad and the Landing Page talk about the same offer

Page content should be relevant, short and to the point.

If you are using Lead Capture form on the page, make it as short as possible, unless all the data fields are required to fulfill the offer.

Let the sign-up form be above fold on the page.

If required, make multiple lead capture pages for different purposes and different target audience, so that the content will be relevant.

Validate all sign-up form fields for required content and type, ideally using JavaScript (rather than separate error pages)

Capture the meta data such as source web site, publisher, key words, etc. which will help in the sales process.

Provide a meaningful Thank You page with relevant information. This will set the right expectation for the prospect and will help in closing the sale.

Lastly, do not forget to use a good lead management and tracking database system in order to track the entire conversion process.

Online Lead Verification is the most valuable and intensive quality assessment and improvement process which comes to the aid of online lead generation companies and lead distributors. Lead Verification can be employed in both B2C and B2B scenarios, though it is most useful in consumer lead scenarios. You may take a look the primer / my earlier post on Lead Scrubbing, Validation and Verification processes.

Again, this is a post-lead-capture process and hence you can not prohibit the bad leads hitting your marketing / leads database. However, by deploying a suitable Online Lead Verification Service you can verify the lead parameters and then make a decision whether to pass on the lead to the lead buyer or your sales team.

The lead verification is carried out generally online and hence it can be used in real time lead generation and distribution situations. Once the lead information is received from the landing pages, the lead management system will subject the key data elements to dozens of tests and determine the quality of the lead.

Lead Verification Properties

The following lead profile parameters are used to verify the lead. Obviously, if the lead captured does not contain all these data elements, then the quality assessment results will be less accurate.

First name

Last name

Email Address

Address

Phone Number

Gender

Date of Birth

IP Address

Based on the input values, the verification process will return the corrected values as well as a set of useful quality parameters (which may vary from system to system).

Most of useful results from Lead Verification process will be:

Overall Quality score

Overall Quality Result

Type / technology of telephone numbers

It may also provide alternate telephone number and address.

At the highest level, the Overall Lead Quality Score can be used to take an instant decision and treat the lead accordingly. For example, if the score is less than 50, probably the quality may not be very high and hence you may avoid selling it to your high value customers.

Benefits of Lead Verification

Adding a Lead Verification service feature in the lead capture and tracking system will be a great boon to those dealing with mortgage leads, debt settlement leads, financial services and other consumer (B2C) leads. There are several advantages and benefits of using an online lead verification process in your demand generation and distribution efforts. Here is a check list. These benefits are self explanatory. However we will revisit these in future posts.

Increased Customer Satisfaction

Increased Lead Conversion Rate

Decrease in Wasted Time and Efforts by your Buyers / Sales Team

Decrease in Lead Cost in the long term

Identification of poor quality lead sources and providers

Increased ROI

Decrease on Price (for Lead Buyers)

Verification Services

Since Lead Verification involves comparision and mathcing with millions of public and proprietory database records, the verification services are generally provided as a per transaction fee based service. The typical cost per transaction varies from 25 cents to 35 cents based on volume of leads verified on monthly basis.

There are a number of verification service providers in the market place. The services include TargusInfo, ServiceObjects, LeadQC, and AccurateAppend among others. You may directly contact the data service provider and request your technical team to establish the interface for online verification.

On the other hand, Lead Distribution and Management service providers, such as LeadPro247, include Lead Verification as an optional service in their lead management and distribution platform. These services use one or more of the database service providers as their back-end partners and hence you can not only get the same benefit as going to the primary provider but better service and more choices. Choosing such a lead management platform might solve a lot of technical issues and maintenance efforts for your team. And your lead buyers and sales team will be happy that you addressing their pain points!

Unlike the leads generated via traditional media, Leads generated on the Internet using online lead generation strategies, methods and tools are highly susceptible to quality issues. If you are lead seller or vendor, then Quality issues lead to customer dissatisfaction and might result in loss of business over a period time.

If you are direct user of the leads generated, then you will be wasting your sales team’s time and efforts with poor quality leads. Implementing Lead Verification as part of your lead generation, capture and distribution will help you control lead costs and improve the lead generation methods.

Business to Consumer (B2C) leads are prone to much more misuse and quality issues, when compared with Business to Business (B2B) leads. However, Lead verification can be used for both type of leads. As an aside, you may take a look at an earlier post on 10 Tips to Improve Lead Quality in Lead Generation, if you have not seen it earlier.

Lead Quality Improvement

The quality of leads reaching the sales team or the lead buyers can be controlled to a great extent by employing multiple methods. These include:

Lead Scrubbing

Lead Validation

Lead Verification

Note that these are post-capture processes and hence you cannot control the quality of leads at the point of sign-up, registration or generation. Let us discuss the Point of Lead Capture quality considerations in other posts.

Lead Scrubbing

Lead Scrubbing is a simple lead cleansing process. A set of words or text strings generally used by the online fraudsters are used as a reference point and the key properties of incoming leads are matched against the same. Any matches are marked as such and scrubbed. The following lead profile properties are used for scrubbing:

Email Address

First Name

Last Name

Company Name

Lead Validation

Lead Validation is the process of validating the lead data for correct format and layout. Examples of lead properties used for Lead Validation are:

Email Address

First Name

Last Name

Phone / Fax Numbers

Zip / Postal Code

State / Province Code

Country Code

Numeric Data fields

The lead distribution and management system can validate the formats and flag the leads, if found to be invalid. Note that most of these validations can be performed on the landing pages and hence you can save a bunch of money if you can implement these checks at the point of sign-up! However, if you are buying leads from affiliates and publishers, and not directing traffic to your own landing pages, then you may not have much control on your landing pages. Post-capture validation is the only option in such cases.

Lead Verification

Online Lead Verification is the most valuable and intensive quality assessment process which comes to the aid of lead generation companies and distributors. Again, this is a post-lead-capture process and hence you can not prohibit the bad leads hitting your marketing / leads database. However, by deploying suitable Lead Verification process, you can verify the lead parameters and then make a decision whether to pass on the lead to the lead buyer or your sales team.

As the name suggests, the lead verification is carried out generally online and hence can be used in real time lead generation and distribution situations. Once the lead information is received from the landing pages, the lead management system will subject the key data elements to dozens of tests and determine the quality of the lead.

The following lead parameters are used to verify the lead. Obviously, if the lead captured does not contain all these data elements, then the quality assessment will be less accurate.

First name

Last name

Email Address

Address

Phone Number

Gender

Date of Birth

IP Address

Based on the input values, the verification process will return the corrected values as well as a set of useful quality parameters (which may vary from system to system). Most of useful will be Overall Quality score, Overall Quality Result, and type / technology of telephone numbers provided. It may also provide alternate telephone number and address. Let us dedicate any post entirely for Lead Verification processes and services.

At the highest level, the Overall Quality Score can be used to take an instant decision and treat the lead accordingly. For example, if the score is leass than 50, probably the quality may not be very high and hence you may avoid selling it to your high value customers.

Since Lead Verification involves comparision with millions of publich and proprietory database records, the verification services are generally provided as a per transaction fee based service. The typical cost per transaction varies from 25 cents to 35 cents based on volume of leads verified on monthly basis.

Conclusion

Choosing and employing the lead quality assessment strategies is a scenario specific one. What is highly recommened for a specific scenario may not be suitable for another business case. Hence you need to weigh your specific use and determine the optimum deployment. If you can offord the cost and resources and required inputs are available, certainly employing more than one process is recommended. As a note of caution, employing the lead verification process does not mean that you can rest easy; you have to constantly reassess the lead sources, processes, and results and improve the procedures as required.

We have touched upon the importance of lead quality in lead generation (or internet demand generation) in earlier posts. This post summarizes 10 ways to improve the lead quality in your lead generation campaigns. These principles can be used for both business-to-consumer (B2C) and business-to-business (B2B) lead generation and distribution strategies.

Gather only the minimum information required on the landing page forms. Adding more (optional) fields will result in junk data and reduce the lead quality.

Validate required fields as well as optional fields for format and content. Email address and numeric data should be 100% validated. Even text fields should be validated for length and patterns.

Validate phone number and Area code (using a reference database). There is no meaning in validating these fields after getting the leads. The validation should be performed in the front end.

Validate geographic information such as country, state, county, and zip codes. Make sure that the validations are appropriate. If you are collecting Mortgage leads or Insurance leads, there is no meaning in providing a country drop down with 150 countries of the world! Provide a drop down with State names for US only. If you are collecting Business Opportunity (Biz Op) leads in US and Canada, let the state drop down display both US and Canadian states.

Validate the city against IP address of the user. Please note that this not a foolproof method and hence this could be used to score the quality of the lead.

Validate physical address, if collected in the sign-up form. Again, online validation is preferred.

Distribute leads based on suitable filters. If you are distributing leads to multiple lead buyers, multiple filter sets can be used to deliver required leads depending on the customer requirements.

Choose one or more suitable lead delivery methods. While email is the most widely used delivery method, there are other reliable methods for lead delivery and distribution. Email, API, Direct Application Access and Fax methods can be used in combination based on the client’s business.

Employ right lead generation methods. Avoiding methods such as forced pop-ups, providing incentives to the user, etc. can greatly improve the lead quality.

De-dupe leads after capture in the lead distribution system. Since users may be submitting the registration forms from more than one site on the internet, de-duping the leads will help improve the client satisfaction. If you are using affiliates and multiple sources, this is an important step prior to lead distribution.

Even if you are outsourcing lead generation and landing page design to third party service providers, make sure that these principles are adhered to. Employing simple, template based landing pages may not address these requirements.

Landing Page design, development and deployment is the most critical activity for internet Lead Generation companies. Five most common mistakes made while designing landing pages by designers are discussed in this post.

The success or failure of lead generation strategies rests on the success or failure of landing pages, which in turn is dependent on the following factors:

Conversion ratio, and

Quality of lead information

Whether you are generating leads for your own use or for further sales to lead buyers / clients, the fundamentals of landing page design and development are the same. Here are the most common mistakes committed by even by experienced lead companies while implementing landing pages and signup / registration forms.

Asking for too much information on the sign-up form in landing pages. Decide upfront what information is critical and collect only critical information, without which the prospect info is meaningless. Providing more fields for input forces visitors to enter garbage.

Avoiding Field Validations. This is the most important mistake committed by designers and programmers. Current programming technology provides for extensive validations in the front end without irritating the user. In fact, good prospects will love error traps and exception handling. For example, it is common to make spelling mistakes while entering domain names in the email address (ex. typing .con instead of .com). Top level domain names can be validated easily. Similarly email address format can be verified. The following type of entry fields should be validated:

Amount or Numeric input fields

Email Address fields

Geography fields (such as Country, State, County, etc.)

Mandatory fields (for presence of data)

Phone entry fields (do not ask the visitor to enter in a specific format, let the system format it.)

Improper use of Drop Downs. This is yet another frequent mistake committed by the designers. Particularly, if you are a generating leads for resale, the numeric fields should be captured as numbers rather than tiers. Your customers may be needing totally different tiers and hence the accuracy of the data will be lost. Applying filters will be difficult, if tier based drop downs are used.

Avoiding or missing Source Tracking. If you are driving traffic to the your common landing page, capturing the traffic source and passing it to the Lead Distribution System is a critical requirement. This helps to analyze the quality of leads by traffic source and tweak the lead generation campaign accordingly.

Designing landing pages without analyzing the end use requirements. Unless you know and fully understand the requirements of the lead data usage, it will be difficult to plan the sign-up form. This problem is more aggravated in the case of lead companies selling leads to more than one customer, since each customer might have different requirement.

Note that implementing some of these suggestions might even reduce the conversion ratio; however it will be compensated by the quality of the leads generated and customer satisfaction. The real prospects also will appreciate your professional approach and work, there by resulting in more quality leads.
